Context
Processing supplier invoices and managing raw material procurement can quickly become complex for manufacturing companies. For our client, a top US manufacturer, inefficient manual workflows around invoice reconciliation overloaded internal teams, increased processing errors, and delayed supplier payments. These inefficiencies impacted supplier relationships and increased operational costs.
Challenge
For our client, a top US manufacturer, manual invoice reconciliation created a major bottleneck for internal teams. Employees had to manually cross-check hundreds of invoices against purchase orders (POs), delivery notes (DNs), and material inspection reports, consuming valuable time and increasing the risk of errors. This inefficiency led to:
- Heavy workload for Accounts Payable teams, slowing down operations and increasing processing costs.
- Delayed or incorrect payments, straining supplier relationships and reducing trust.
- Supply chain disruptions, as unresolved invoice discrepancies delayed material procurement and supplier collaboration.
Solutions
Automated invoice reconciliation
We deployed an AI Invoice Reconciliation Agent tailored for manufacturing operations. The AI Agent collaborates with other specialized agents to handle supplier validation, delivery schedules, and raw material quality checks, matching key information such as vendor data, item specifications, quantities, PO numbers, and delivery notes. In this new AI-agent driven dynamic, employees remained in the loop, supervising the AI output, reviewing flagged discrepancies and approving final update with through efficient confirmation screens.
Seamless connectivity & ERP updates
The new agentic automation flow resulted in a structured reconciliation package, ready for seamless updates to the customer’s Enterprise Resource Planning ERP) system. To enhance update efficiency, the customer’s RPA was set to upload these packages on an hourly basis, reducing manual effort and helping uninterrupted production flows.
